1. About This Policy
This Privacy Policy describes how WholeHealthMD Corp (“WholeHealthMD,” “we,” “us,” or”our”) collects, uses, retains, and deletes information when you use the WholeHealthMD CalorieTracker mobile application (the “App”) and our website at www.mywholehealthmd.com.
The App is a calorie tracking and AI-coaching tool that helps users log meals, track nutrition, and receive personalized insights. By using the App, you agree to this Privacy Policy. If you do not agree, please do not use the App.
2. Information We Collect
2.1 Account Information
- Name
- Email address
- Date of birth (used to verify the 18+ age requirement)
- Username and password
2.2 Nutrition and Fitness Information
- Weight, height, and BMI
- Health and fitness goals (e.g., weight loss, maintenance)
- Daily calorie intake and macronutrient data
- Food logs and meal history
- Photos of meals you upload
- Barcode and OCR nutrition scans
- AI coach interactions and chat history
- Exercise and activity data you choose to enter
2.3 Camera and Photo Library Data
- Meal photos you upload
- Image metadata (e.g., timestamp)
We only access your camera or photo library when you grant permission, and only for the purpose of logging meals.
2.4 Automatically Collected Data
- Device type, operating system, and app version
- IP address
- App usage data and event logs
- Crash logs and diagnostic data
- Analytics identifiers
3. How We Use Your Information
We use your information to:
- Provide calorie tracking, meal logging, and AI coaching features
- Analyze meals and generate personalized nutrition insights
- Maintain, secure, and improve the App
- Communicate with you about your account or App updates
- Detect and prevent fraud, abuse, and security incidents
- Comply with legal obligations
4. How We Share Your Information
We do not sell your personal information or nutrition data.
4.1 Service Providers
We share limited data with vetted third-party service providers who help us operate the App, including providers of:
- Cloud storage and hosting
- AI processing for meal analysis and coaching
- Analytics and crash reporting
- Customer support
These providers are contractually required to protect your data and use it only for the services they provide to us.
4.2 Legal Requirements
We may disclose information if required by law, subpoena, or court order, or to protect the rights, property, or safety of WholeHealthMD, our users, or the public.
4.3 Business Transfers
If WholeHealthMD is involved in a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction. You will be notified of any such change.
5. Data Retention
We retain personal data only for as long as needed to provide the App, comply with legal obligations, resolve disputes, and enforce our agreements. When data is no longer needed, we
securely delete or anonymize it.

6. Account & Data Deletion
You have the right to delete your account and all associated personal data at any time. You can do this from inside the App, or by submitting a request through our website — without reinstalling the App. The steps and timelines are below.
6.1 How to Delete Your Account from Inside the App
- Open the WholeHealthMD Calorie Tracker App.
- Tap Settings (or the profile icon).
- Tap Account.
- Tap Delete Account.
- Confirm the deletion when prompted.
Once you confirm, your account is deactivated immediately and the deletion process begins.
6.2 How to Request Deletion from the Web (No App Required)
You do not need to install or reinstall the App to request deletion. To request account and data deletion from any web browser, send an email as follows:
- Email: ask@mywholehealthmd.com
- Subject line: “Data Deletion Request”
- Include: the email address associated with your account and your full name.
We will verify your identity, then process and confirm the deletion as described in Section 6.5below.
6.3 What Data Will Be Deleted
When you delete your account, we will permanently delete the following:
- Your name, email, date of birth, and password
- Your weight, height, BMI, and health/fitness goals
- Your food logs, calorie data, macronutrient data, and meal history
- Your meal photos and any images you uploaded
- Your AI coach chat history and interaction data
- Your device permissions, preferences, and saved settings
6.4 What Data May Be Retained (Limited Exceptions)
We may retain a limited amount of data only where necessary to:
- Comply with legal, tax, or regulatory obligations (up to 7 years)
- Prevent fraud, abuse, or security incidents
- Resolve disputes or enforce our Terms of Service
- Maintain anonymized/aggregated analytics that cannot identify you
Any retained data is stored securely, used only for the limited purposes above, and deleted when no longer needed.
6.5 Deletion Timeline
- Immediate: Your account is deactivated and you can no longer log in.
- Within 30 days: All personal and nutrition data is permanently deleted from active systems.
- Within 90 days: Backup copies are securely overwritten or deleted.
- Confirmation: You will receive an email confirmation once the deletion is complete.
7. Your Rights and Controls
7.1 Access and Correction
You can view and edit your personal information at any time within the App under Settings →Account.
7.2 Permissions
You can disable the following permissions in your device settings at any time:
- Camera access
- Photo library access
- Push notifications
7.3 Communication Preferences
You can opt out of:
- Marketing emails (via the unsubscribe link in any marketing message)
- In-app promotional notifications (in Settings)
- Optional analytics, where available
7.4 Additional Rights for Residents of Certain Regions
Depending on where you live (including the EU/EEA, UK, California, Virginia, Colorado,Connecticut, and other US states with privacy laws), you may have additional rights, including the right to:
- Access the personal information we hold about you
- Correct inaccurate information
- Request deletion (as described in Section 6)
- Receive a portable copy of your data
- Object to or restrict certain processing
- Withdraw consent
- Lodge a complaint with a supervisory authority

8. Data Security
We use industry-standard administrative, technical, and physical safeguards to protect your data, including encryption in transit (TLS) and at rest, access controls, secure servers, androutine security reviews. However, no internet transmission or electronic storage is 100% secure,and we cannot guarantee absolute security.
9. Children’s Privacy
The App is intended for users 18 years of age or older. We do not knowingly collect personal information from anyone under 18. If we learn we have collected information from a person under 18, we will delete it promptly. If you believe a minor has provided us with information, please contact ask@mywholehealthmd.com.
10. International Users
WholeHealthMD is based in the United States. If you use the App from outside the United States, your information will be transferred to, processed, and stored in the United States, where data protection laws may differ from those in your country. By using the App, you consent to this transfer.
11. Third-Party Services
The App may contain links to third-party websites or integrate with third-party services. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before providing them with any information.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “LastUpdated” date at the top of the policy and, where required by law, provide additional notice (such
as an in-app message or email). Continued use of the App after changes take effect constitutes acceptance of the revised Privacy Policy.
